
Transferring the Provident Fund (PF) of the old company to the PF account of the new company on changing jobs is a mandatory financial step for every salaried employee. However, lakhs of employees face a huge hassle when their online transfer claim appears in ‘Pending’ or ‘Rejected’ status for weeks. According to Employees Provident Fund Organization (EPFO) data, most PF transfers get stuck not due to technical glitches, but due to data mismatch and incomplete KYC of the employee.
Stuck PF transfer not only stops the centralization of your money, but also affects the compound interest and continuity of service, which has a direct impact on future pension eligibility (EPS-95). EPFO has now started online facilities of joint declaration and self-update on the UAN member portal, with the help of which you can correct your incorrect information in just 5 minutes without visiting any office.
Before submitting a claim online, it is important to check where there is an error in your record:

Mismatch of personal details: Name, father’s name, gender or date of birth (DOB) not matching with Aadhaar and PAN data as recorded in old company records.

Date of Exit not recorded: After leaving the old company, if the employer has not updated the date of leaving the company on the portal, the transfer claim cannot proceed.

Incomplete or unverified e-KYC: Bank account, IFSC code, PAN or Aadhaar not being linked to UAN or not digitally approved by the employer.

Having two different UAN numbers: In case more than one UAN is activated, the system considers it a duplicate entry and blocks the transfer.
If any name or personal details are entered incorrectly in your account, then EPFO’s digital ‘Joint Declaration’ This can be easily modified via modules:

Login to the portal: First of all go to the unified member portal of EPFO (unifiedportal-mem.epfindia.gov.in/memberinterface). Login by entering your UAN number, password and captcha.

Select Joint Declaration option: When the main dashboard opens, click on the menu bar above ‘Manage’ Click on the tab and from the dropdown ‘Joint Declaration’ Select the option.

Select Member ID: Select the Member ID of the company (old or present) whose records need to be corrected and click on ‘Get Details’.

Enter modified details: Fields like name, date of birth, marital status, father/husband’s name will be visible on the screen. Enter the correct details against the information which is incorrect and upload the scanned copy of valid document (like PAN card, passport or birth certificate) for verification.

Submit with OTP: Enter the OTP received on the registered mobile number linked to Aadhaar and submit it.

Employer and EPFO Approval: This request will go to your employer’s portal. After the digital signature is approved by the employer, the concerned EPFO field office updates it finally.
If the old company has not given your ‘Date of Exit’, then there is no need to approach the HR of the company for this. EPFO allows members to update it themselves:

After login to the portal ‘Manage’ go to tab ‘Mark Exit’ Click on.

Select the PF account of your old company from the dropdown.

Select the exact date of leaving your job and the reason for leaving (e.g. Resignation/Retirement).

Enter Aadhaar OTP by ticking the consent box. Once the OTP is verified, your date of exit will be immediately entered in the system. (Note: This facility is activated only after a minimum of two months of leaving the job).
Once all your profile details and KYC are approved, the PF transfer process is completed in a few clicks:

In the main menu of the portal ‘Online Services’ Go to tab and ‘One Member – One EPF Account (Transfer Request)’ Click on.

Check your current company and previous company member ID details on the screen.

For claim attestation, select either ‘Previous Employer’ or ‘Current Employer’ (which company is active and can give quick approval).

Enter your old member ID or UAN and press ‘Get Details’.

Finally click on ‘Get OTP’, enter Aadhaar OTP and submit the form.
After submission you will get a tracking ID. You ‘Track Claim Status’ You can see the live status of your transfer by going to the section. Generally, the old PF amount gets credited to the new account within 7 to 15 working days of getting the approval of the employer and EPFO.
